• Family Accompaniment Coordinator (FAC Tonga)

Exciting opportunities available to a passionate person who would like to join a dynamic and fast- moving team with the Pacific Australia Labour Mobility (PALM) scheme labour mobility activities.

The Family Accompaniment Coordinator (FAC Tonga) is expected to work very closely with the Deputy CEO, the PLF Engagement Manager, and the PLF Family Accompaniment Project Manager to support the mobilisation of Tongan families selected to participate in the PALM scheme Family Accompaniment pilot. External stakeholder engagement is a large component of this role.

Duties and Responsibilities:

  • Be the first point of contact for families interested in applying for the Family Accompaniment pilot, and for the selected families as they progress through the mobilisation process, responsible for answering questions about the pilot, and helping to manage expectations.
  • Assist the Australia-based Family Accompaniment Monitoring, Evaluation and Learning Manager with in-country data collection for monitoring and evaluation purposes.
  • Enter data on participating family members into the In-country Recruitment Database, the tool that will be used to record the details of the family’s journey through the Family Accompaniment pilot.
  • Work closely with selected families and workers to ensure they understand the visa process, and the necessary documentation required.
  • Work closely with panel doctors, the Police Department, Immigration Department, and other key stakeholders in Tonga to ensure that required visa documentation for each worker are issued in time.
  • Manage, coordinate, and monitor family visa applications to ensure that all visa application information and documentation for every accompanying family member is complete, accurate and sent to the PALM Approved Employer on a timely basis.
  • Provide guidance and advice to participating families around travel logistics and practicalities. This may also include helping families as they book their travel to Australia.
  • Manage, coordinate, and monitor additional visa information requirements including AFP requirements so as to ensure that all application information and documentation for every accompanying family member is complete, accurate and submitted to the responsible Australian authority on a timely basis.
  • Work with the PLF’s Family Accompaniment team to ensure the Family Accompaniment Pre- Departure Briefing (FAPDB) is culturally appropriate and comprehensive.
  • Manage and coordinate communications with the Pre-Departure Briefing (PDB) trainers so as to ensure that FAPDBs are delivered in time and that all required family information for FAPDBs are supplied to trainers on a timely basis.
  • Manage, coordinate, and monitor the supply of information required for arrival of families in Australia including COVID vaccination information, Australia Travel Declaration, and custom requirements.
  • Submit a mobilisation report to key stakeholders upon flight departure.
  • Other duties as may reasonably be required by the OED, Tonga.
  • Ensure communication, cross-learning and sharing of tools across the Pacific Labour Facility team and Labour Sending Units in other countries.
  • Participate as a member of the PLF team and contribute to planning and reporting activities.
  • Participate in the meetings with the Australian Department of Foreign Affairs and Trade to discuss progress of the roll-out of the Family Accompaniment pilot, including to participate in the fortnightly Family Accompaniment Steering Committee.
  • Undertake and deliver the outcomes and objectives of the role in accordance with the expected Core Capabilities, Ways of Working and Values of ONE PLF.

Qualifications and Experience:

  • Prior experience of having lived and worked in Australia would be an advantage.
  • Excellent communication skills, both written and verbal in English and Tongan.
  • Experience in fast paced working environments, with tight deadlines. 
  • Excellent interpersonal skills and the ability to build and maintain effective working relationships with a range of different individuals and organisations across countries and time zones.
  • High level proficiency in Word, Excel, PowerPoint, and web browsers.
  • Demonstrated commitment to diversity and inclusion, particularly in a cross-cultural context.
  • A tertiary qualification in human resource management or social services would be an advantage.

These positions are based in Tonga. Candidates must have current unrestricted work rights or be eligible to apply for a valid visa in Tonga. Position is classified as a Locally Engaged Staff at salary scale of Band K. Tongan nationals and permanent residents are encouraged to apply. Successful applicants will be offered an initial contract until 31 December 2024.
