Location: Ministry of Education and Training, Tupoulahi Road, Nuku’alofa
Contract Term: 48 months (subject to periodic performance review)
Reports To: Head of Global Platform for Education PMU

About the Role

The Ministry of Education and Training is seeking a proactive and organized Project Coordinator to join its Program Management Unit (PMU). The Project Coordinator will support the effective implementation of GPE funded education sector projects managed by the PMU. This role involves coordinating daily activities, supporting implementing divisions, managing project documentation, and providing technical and administrative support. The Coordinator will work closely with stakeholders to ensure timely delivery of project components and contribute to the overall success of the Ministry’s strategic initiatives.

Position Description: Project Coordinator – Program Management Unit (PMU)

Location: Ministry of Education and Training, Tupoulahi Road, Nuku’alofa
Reports To: Head of PMU
Contract Term: 48 months, subject to periodic performance review

Role Overview

The Project Coordinator will support the effective implementation of education sector projects managed by the PMU. This role involves coordinating daily activities, supporting implementing divisions, managing project documentation, and providing technical and administrative support. The Coordinator will work closely with stakeholders to ensure timely delivery of project components and contribute to the overall success of the Ministry’s strategic initiatives.

Key Responsibilities

Project Coordination & Support

  • Monitor daily progress of project components and flag delays or issues.
  • Support implementing divisions to deliver activities efficiently and effectively.
  • Coordinate resources, meetings, and information flow within the PMU.
  • Assist the Head of PMU in ensuring project deadlines and milestones are met.

Documentation & Reporting

  • Manage project documents including Implementation Plans, Budgets, and Progress Reports.
  • Prepare project status updates for internal and external stakeholders.
  • Contribute to quarterly, annual, and completion reports as required.

Stakeholder Engagement

  • Facilitate communication between PMU, implementing divisions, and external partners.
  • Organize and document stakeholder meetings, including minutes and presentation materials.
  • Ensure stakeholder feedback is considered and integrated into project delivery.

Risk & Issue Management

  • Identify potential project risks and propose mitigation strategies.
  • Support implementation of risk management plans across the PMU team.

Technical & IT Support

  • Provide technology support for project-related systems and tools.
  • Ensure all PMU computers and electronic devices are secure and operational.
  • Serve as helpdesk lead, troubleshoot issues, and escalate unresolved problems.
  • Train PMU staff on software and hardware relevant to project delivery.

Collaboration & Oversight

  • Work collaboratively with consultants, vendors, and technical advisors to meet deliverables.
  • Ensure alignment with MET’s technology requirements and standards.

Administrative Duties

  • Provide general administrative support to the PMU.
  • Perform other duties as assigned by the Head of PMU
