About the role
We are seeking a proactive and detail-oriented General Services Officer to support the smooth day-to-day operations of the business. The role is responsible for ensuring efficient office support services, timely policy processing, effective debtor management, assistance with finance and accounts tasks, and coordination of renewal and policy expiry processes. The successful candidate will play a key role in maintaining operational efficiency, delivering quality customer service, and ensuring compliance with company policies and procedures.

Key Responsibilities

Support Office

  • Attend to customer enquiries via phone calls and walk-in visits in a professional and timely manner.
  • Assist customers with documentation requests and general service support.
  • Maintain and oversee the company premises to ensure cleanliness, safety, and proper upkeep.
  • Schedule, coordinate, and monitor customer appointments.

Documentation Management

  • Maintain accurate and up-to-date client records in both hard copy and electronic formats.
  • Ensure all documentation is properly filed, secured, and easily accessible when required.
  • Support compliance with company record-keeping procedures and standards.

Debtor Management

  • Follow up with debtors regarding outstanding premiums and overdue payments.
  • Maintain communication with clients to support timely collection of outstanding balances.
  • Update and maintain debtor records and follow-up status reports.

Finance & Accounts Support

  • Assist with processing payments, preparation of cheques, and settlement of bills.
  • Perform petty cash reconciliation and maintain accurate financial records.
  • Collect bank statements and support general finance and accounts administration tasks.

Renewal & Expiry Process

  • Prepare and print policy expiry notice letters.
  • Retrieve and organize client files due for renewal and prepare renewal lists.
  • Verify and ensure all required renewal documentation is complete.
  • Send expiry notices via email or contact clients for collection.
  • Prepare and organize client correspondence for delivery through Tonga Post.
  • Coordinate payment preparation and dispatch of letters to Tonga Post.

Qualification & Experience

  • Minimum 7th Form Graduate or equivalent qualification.
  • At least 5 years’ experience in an office administration or similar support role.
  • Strong organizational and communication skills with attention to detail.
  • Basic knowledge of finance/accounts administration will be an advantage.
  • Proficient in Microsoft Office applications and general computer usage.
