Role Purpose

To prepare payment reconciliation for supplier accounts, prompt payment of supplier invoices, ensure a high level of customer services is provided. The role will also provide office administration support to the Country Manager.

Role Accountabilities

  • Follow up on monthly statement of accounts and invoices from suppliers
  • Raise purchase orders for branch administration costs
  • Check and match purchase orders against supplier invoices
  • Attend to any queries raised internally and externally on supplier invoices
  • Register all incoming invoices
  • Coding of import/export transshipment invoices for payment
  • Raising purchase orders for any vessel related cost
  • Provide daily summary of online banking to the debtor’s team in FIJI
  • Ensuring all online banking transactions received are recorded and deposited into the correct bank account
  • Prepare debtors summary report for distribution to the Singapore team
  • Assist with preparation of regular debtors’ invoices and issue them to customers where necessary, following up with customers for any outstanding debts
  • Verify that suppliers’ invoices are accurate and are processed against the correct vessel, voyage, and cost code
  • Maintain a file of the most current / stevedoring / transport rates for cross checking reference
  • Identify costs to be recharged to third parties and advise Customer Services accordingly
  • Confirmation of General Account files sent to FIJI on a monthly basis
  • Budgeting and payroll administration. To track expenses and reconcile receipts with spending
  • Review monthly expenses for cleaning contractors and maintenance vendors
  • Assisting with the preparation of budgets and financial reports
  • Handle budgeting and cost management for office operations
  • New vendors to be registered. Physical visits to assist on the registration if need be. Liaise with Procurement on payment terms update.
  • Complete monthly tax returns
  • Be point of contact for financial year end reporting. Provide the tax agent with supporting documents to assist in the compilation and have approved for submission prior to 30th April  Sort out general queries on a daily basis
  • Answering the phones and directing calls in a professional manner
  • Maintenance of Company property and Vehicles, insurances updated
  • Assist the Country Manager in managing office administration tasks, coordinate wellness programs, and organise office events
  • Provide administrative support to other departments, including HR and IT, as required

Key Qualifications & Skills

Qualifications

  • Bachelor’s degree in financial accounting or business administration (OR)
  • Diploma in Accounting

Technical Skills

  • At least 3-5years shipping experience would be advantageous
  • Accounting experience, especially debtors/creditors
  • Advance knowledge of excel and intermediate knowledge of outlook and word
  • Confidence and good communication skills in both written and verbal
  • Strong attention to detail and accuracy
  • Talent for learning new computer systems
