REQUEST FOR EXPRESSIONS OF INTEREST

Assignment Title: Finance and Administration Officer

Position Title: Finance and Administration Officer
Duration: Full-time – 18 months
Remuneration: T$28,500 per annum (inclusive of all taxes and statutory contributions)
Location: Ministry of Internal Affairs – WAGED Division
Reports to: Deputy CEOWAGED

Purpose of the Position
To provide reliable financial management and administrative support to the WAGED team, ensuring accurate reporting, effective budget monitoring, and efficient daily operations aligned with government and donor requirements.

Key Responsibilities

1. Financial Management

  • Record and reconcile daily financial transactions.
  • Prepare monthly financial summaries including petty cash reports and expenditure tracking with variance notes.
  • Ensure proper filing and documentation of all financial records.

2. Budget Support

  • Monitor budget utilization and identify discrepancies.
  • Assist in monthly expenditure forecasting and updates for DCEOWAGED.
  • Contribute to the annual budgeting process.

3. Reporting and Compliance

  • Support preparation of quarterly donor financial reports.
  • Organize and archive financial documents for audit preparedness.
  • Ensure timely compliance with statutory financial obligations.

4. Payroll and Procurement

  • Assist in payroll calculations and monthly summaries.
  • Coordinate procurement processes, including quotation gathering, approval tracking, and delivery verification.

5. Administrative Operations

  • Maintain filing systems for finance and administration.
  • Provide logistics support for travel, meetings, and office needs.
  • Follow up weekly with the Ministry Accounts team.

Expected Deliverables

  • Monthly financial updates and reports submitted to the DCEOWAGED.
  • Well-organized, audit-ready financial records.
  • Procurement conducted in accordance with internal and donor procedures.
  • Effective logistical and administrative coordination for team operations.

Qualifications and Experience

  • Bachelor’s degree or diploma in Accounting, Finance, Business Administration, or a related field.
  • 3–5 years of relevant experience in financial or administrative roles (preferably in a government or NGO setting).
  • Familiarity with donor reporting, budgeting, and procurement practices.
  • Proficient in Microsoft Excel and Word with working knowledge of accounting principles.
