Operations & Logistics Officer

About the Role:
We are now recruiting for an Operations & Logistics Officer based in Nukualofa and offer a dynamic and supportive environment. Reporting to the Operations & Logistics Supervisor, the role is responsible for the day-to-day activities of Swire Shipping operations activity in Tonga, to include container management, vessel and cargo operations, documentation management and interaction with service providers.
Some of the key responsibilities and accountabilities:
Port Agency / Vessel and Cargo Operations
- Updating concerned parties on vessel schedules, ensuring berth allocation for incoming vessels
- Ensuring permits / requirements are met before vessel arrival
- Ensuring agency requirements (Bio-Security, Immigration, Customs, Port Authority) are met
- Coordinating with authorities on berth schedules and vessel operations
- Completion / submission of documentation requirements
- Reconciling discharge / load plans
- Boarding the vessels – checking boarding documents, ensuring legal requirements are met
- Ensuring safety protocols are being adhered to before / during and after operations whilst vessel is at port
- Organizing breakbulk, CCVs discharge/devanning with proper documentation
- Completing departure documentation, reporting, PO reconciliation
Logistics / Container Management
- Ensuring accurate and regular updating of container movement data into the tracking system
- Keeping track of all Swire container movements by achieving stock reconciliation at the depot/wharf.
- Conducting weekly wharf/depot and customers yard stock takes
- Preparing needed reports for submission to the Logistics Supervisor and regional office
- Ensuring that depot is aware of Swire requirements, and that FIFO is followed
- Updating/preparing service delivery achievement reports, Export Forecasts and KPI reports
Skills / experience required:
- Minimum of 2 years’ experience in the shipping industry, preferably with some experience relating to container control and agency work
- Comprehensive knowledge of commercial, technical, legal and regional aspects of shipping boarding in particular dealing with Tonga Customs & Revenue Services, Bio-Security Services and Immigration department of Tonga
- Communication and problem solving with the ability to work late night shift when required
- Experience in cost and trend analysis for procuring the required services and goods for agency work
- Advanced use of MS tools such as Excel, Word and Power Point
- Able to work well with both internal & external Customers
- Excellent facilitation, written and oral communication, interpersonal and organisational skills
